Led HighLevel implementations for agencies, optimizing funnels and automations to boost client acquisition. I built high-converting funnels with embedded AI chatbots for 24/7 lead engagement, deployed voice agents that qualified inbound and filtered for high-intent prospects, and orchestrated SMS, email, and social nurture campaigns that lifted client retention by 35% while cutting new-client setup time by 60%.

Directed full agency operations in HighLevel, scaling SaaS delivery for marketing service providers. I standardised client onboarding into modular, reusable snapshots that cut setup time by 60%, deployed AI voice and chat agents for lead routing and first-touch engagement across sub-accounts, and built the KPI dashboards leadership uses to track sales, onboarding progress, and automation adoption. Over the period the agency saw 40% revenue growth, with every core operational workflow running on automation.

Senior Automation Architect

Automentor LLC · automentor.app

Built enterprise-level automation systems for marketing operations, improving scalability and lead management. I shipped an AI lead-scoring layer on the OpenAI API that ranked inbound by intent and removed roughly 75% of manual triage, designed multi-channel nurture across SMS, email, and voice that branched on score and behaviour, and automated pipeline stage updates through webhooks so the sales team stopped doing CRM hygiene by hand. I also owned client onboarding, standardising setup so new accounts went live in days.

Built real estate-focused HighLevel infrastructure for property firms, improving lead management and sales pipelines. I rebuilt the CRM around separate buyer, seller, and active-prospect pipelines, automated open-house RSVP registration with staged reminders that dropped the no-show rate by around 30%, and integrated call routing and IVR with Zapier syncs so agents stopped re-keying lead data between platforms.

Manager, Onboarding Process

GIFS Media · Client Onboarding

Owned the client onboarding process end to end — intake, account setup, configuration, training, and handover to the account team. I built the standard operating procedures and onboarding checklists the team worked from, ran kickoff and training sessions with new clients, and tracked every account through to activation so nothing stalled between sale and go-live. Onboarded 100+ clients, brought average time to go-live down to 7 days, and held 80% client retention.

What I Can Build For You

Six layers, in the order a client actually experiences them — onboard, architect, automate, qualify, report, and fix what came before.

Client Onboarding & Implementation

Activation layer

The full path from signed contract to a client actually using the product: intake, account setup, configuration, kickoff and training, then handover — run off documented SOPs and reusable snapshots so time-to-value stops depending on who picked up the account.

CRM & Pipeline Architecture

Foundation layer

Pipelines, stages, custom fields, and routing logic that mirror how your team actually sells — not the default the platform ships with. Clean data in means reporting you can trust coming out.

Execution layer

Follow-up sequences, task routing, webhook syncs, and backend jobs built to survive volume, edge cases, and whoever inherits them after me. Documented, not improvised.

Agency SaaS Delivery Platform

01

The Problem

Fragmented tools and manual onboarding slowed agency growth and limited automation adoption. Every client got a slightly different build, and nobody could say which accounts were actually using what they paid for.

The Solution

Implemented SaaS Mode infrastructure, modular snapshots, and AI-powered workflows to streamline operations and accelerate agency scaling.

Key Automations

  • Client Onboarding SnapshotsPre-built modular systems for rapid, one-click client provisioning.
  • AI Voice & Chat AgentsAutomated lead routing and engagement across every sub-account.

AI Lead Scoring & Nurture

02

The Problem

Reps triaged every inbound lead by hand and worked them in arrival order, so high-intent prospects waited behind tyre-kickers. Funnels were difficult to scale and pipeline stages were updated manually or not at all.

The Solution

AI workflows, CRM architecture, and multi-channel automation integrated with HighLevel — scoring leads on intent and routing them accordingly.

Key Automations

  • Lead Scoring BotsAutomated qualification and prioritization based on intent signals.
  • Customer Journey NurturesMulti-channel follow-up branching on score and behaviour.

03

The Problem

Manual follow-ups and poor lead tracking caused roughly 30% no-shows and stalled deals in a competitive market. Buyers and sellers sat in one undifferentiated list with no routing logic.

The Solution

A custom HighLevel CRM with automated booking workflows, listing funnels, and AI-powered nurture — so agents could focus on closing instead of admin.

Key Automations

  • Open House RSVP AutomationAutomated registrations with staged reminders before each event.
  • Buyer & Seller SegmentationDedicated pipelines separating buyers, sellers, and active prospects.

Client Onboarding Process Rebuild

GIFS Media · Manager, Onboarding Process · 2020 — 2021
04

The Problem

New clients signed and then stalled. Onboarding depended entirely on whoever picked up the account, so no two setups matched, steps were skipped, and the gap between contract and go-live kept stretching. Nobody could say where any account actually stood.

The Solution

Rebuilt onboarding as one documented process every account runs through — standard operating procedures, reusable account templates, structured kickoff and training, and a tracked path from signed to live.

Key Automations

  • Onboarding SOPs & ChecklistsOne documented path every account follows, regardless of who owns it.
  • Automated Intake & SetupIntake forms feeding account provisioning and configuration directly.
  • Kickoff & Training SequencesScheduled sessions with automated reminders and materials sent ahead.

About

A Bit About Me

Jaffer Kazmi at work

I'm a Go-To-Market engineer with a strong focus on HighLevel and marketing automation platforms. I design scalable systems that help marketing agencies launch, streamline operations, and grow faster — without adding headcount just to hold it all together.

Five years in, across seven agencies and SaaS teams, the pattern is always the same: the tools aren't the problem, the architecture is. Most automation work fails because the pipeline was designed around what the platform ships with instead of how the sales team actually sells.

So I start from the sales motion and build backwards — pipeline first, then automation, then reporting. Based on UTC+5, working remotely with teams across Europe and North America.

01

Operator, not just implementer

I've owned the systems I build — onboarding, pipelines, follow-up, reporting — inside real agencies. The recommendations come from running the playbook, not reading about it.

02

Architecture before automation

Automating a broken pipeline just makes the mess move faster. I fix stages, fields, and routing first, then build workflows on top of a structure that holds.

03

Built to be inherited

Every build ships with naming conventions, documentation, and a trained owner. If a system only works while I'm around, it isn't finished.

04

Measured, not assumed

Every engagement gets a baseline before and numbers after. If a workflow isn't moving retention, speed-to-lead, or close rate, it gets cut rather than defended.

05

Speed to lead beats everything

The gap between a form submission and the first real touch decides more deals than any nurture sequence. I optimise that number first, then work outward.

06

Prove it small, then scale

I'd rather ship one pipeline that works in two weeks than rebuild everything over three months. Get a win on the board, earn the trust, then expand.
